3M HELLAS: The Greek subsidiary of the 3M Company, an American multinational corporation operating in the fields of industry, worker safety, health care, and consumer goods.
NEED: Support the Purchase Requisitions processes of 3M, in order to reduce the employees’ effort of gathering the necessary authorization signatures, and allow the Sourcing Department to view and
suitably exploit the procurement data.APPROACH: We designed a custom software solution having studied and analyzed the existing user roles, workflow and functionalities of the purchase requisitions submission procedure. The new system included:
- Purchase Requisition (PR) Forms and Purchase Order (PO) Reports
- Preferred Suppliers Costs Administration
- Department budgeting control for purchases of the advertising account
- Interface with AS/400 and Euroms II systems
- Automated Reporting functionality related to types of purchase requisitions, suppliers, time periods, users, etc
- Requisitions invoices control.
SOLUTION: EXIS designed and developed from scratch a Purchases Management System that provides a user friendly GUI and flexible administration procedures, supporting basic workflow functionality, and offering the ability to produce easily valuable reports. The project also included provision of a temporary solution for the replacement of 3M current AS/400 and Euroms II systems that were used for inventory requisitions at that time.
OUTCOME &, BENEFIT: The deployment of the Purchases Management System (“PMS”) allowed 3M HELLAS to automate most of the Procurement Department’s processes. By digitizing the basic paper forms, 3M’s submission procedures were automated in a high degree, offering safe process implementation.
